The idea of tight integration of several disparate Claromentis applications led to the concept of a project room - a hub for different objects that are in fact connected to the same project - and a Project Rooms application that maintains Project Rooms.
What this means for the customer is that you can set up new project rooms, and automatically create documents, electronic forms, collaboration centres and Gantt charts for the team to review and act on progress.
This new level of hierarchy between the Claromentis Framework and a Project brings more flexibility and convenience, as most companies have departments which each run multiple projects, and with this new level the structure of the application comes closer to structure of a company while staying very simple and clear for the end user - I can contribute and review appropriate projects for me - and am not aware of other projects my colleagues are working on.
Dedicated project rooms enable teams to share project-related resources and interact using collaborative tools. From one key point they can access and update project documents, budgets and timesheets, as well as use scheduling tools to planactivities and monitor progress.
A project room is a collection of personnel information, forum boards and documentation relating to a specific project. Each project room has a summary page that displays details about all the project activities it contains, including overall status, recent forum postings, new documents, alerts about resources, and so on.
A plan of work is a set of tasks with start and finish dates. These tasks are linked to a resource list, with information about the intensity of resource usage during the specified time period.
Project room users may be authorized to create new project activities, edit existing project activities, or may have view-only access to certain project activities.
At any time, the authorized owner of a project activity can create a new version. The previous version is stored within the Claromentis Project Manager application and can then be archived using the archiving tool. Each version is identified by a free text label.
Integration with the Claromentis Document Manager application enables users to access powerful document management functionality. From within project rooms team members can collaborate on the creation and development of project documents, while benefiting from comprehensive version-control features.
All project activities have their own folder within the Claromentis Document Manager application. As well as enabling easy collaboration on document creation, this also allows the project team to track revision history and use version control tools.
A user-friendly Gantt chart tool enables team members to schedule events, mark key tasks and milestones, and keep track of progress.
A Gantt chart is automatically created for each project activity. This graphically summarizes the project tasks and milestones.
The following information can be recorded on each project task:
If a resource is over-allocated, this will be highlighted on the Gantt chart and will appear in as an overload warning in the project summary. If the allocations do not cover the required amount of resource, the task is marked as 'non-fulfilled'. If there is an issue with a particular resource (for example, the person is ill), the task is highlighted until the resource is reallocated.

A milestone divides the project flow into separate phases. The milestone is connected to one or more tasks and has a due date. Depending on the current date and status of linked tasks, the milestone can have one of three status levels:
If required, alerts can be set up to notify team members when the milestone status changes. Milestone status is also reflected in the project activity summary.
Linked to the Gantt chart tool, users can set up automatic alerts by pop-up message or web-mail, ensuring that relevant team members are reminded of time-sensitive tasks and milestones.
Using the integrated calendar tool provided within the Claromentis Portal environment, users can keep track of events, holidays and resource allocation.
Integrated functionality within the Claromentis Portal environment enables team members to set up project-specific discussion forums to share and debate ideas.
A forum is automatically created for each project activity. Here, users can post information, or questions and answers on relevant topics for the project activity.
The forum enables easy collaboration on issues related to the project activity. Functionality within the Claromentis Portal environment provides owners with the option to moderate forums or not, as required.
Traffic light indicators give an at-a-glance status overview of project activities. In seconds, team members can identify tasks that are running behind schedule, and take appropriate action.
Advanced reporting features allow you to review the current status of all project activities.
The status summary report is fully configurable to meet your needs. Information fields include the following:
The workflow of allowable transitions in any project activity is completely definable to suit your needs. So any workflow can be defined, as projects move from one status to another.
When the status of the project activity is changed, a note must be added, commenting on the transition from one status to another. These notes are displayed on the audit log for use and review by the project team.
Using the Claromentis InfoCapture tool, tailored workflow solutions incorporating e-form functionality can be integrated with Claromentis Project Manager, improving process efficiency and increasing productivity within project teams.
If desired, you can provide e-forms within each project activity. Project teams can use these to make requests relevant to the efficient running of the project. These might range from requesting materials or purchase orders, to organizing demonstrations - anything relevant to the project success.

Easy-to-use administration tools enable companies to tailor Claromentis Project Manager to fit the precise needs of their business.
Using the permissions structure within the Claromentis Framework, administrators can configure the application so that only authorized project team members can access each project room. This is particularly useful when teams include external partners: companies can provide access to the information needed for a specific project without the partner being able to access other sensitive or confidential information.
Once a project has been completed, the entire project room - and all the information it contains - can be archived. If access is required subsequently, the project room can be restored quickly and easily by the administrator.
Claromentis Project Manager contains comprehensive archive and restore functionality. Using this, entire projects - with all of their associated data such as e-forms and project documentation held within the Claromentis Document Manager application - can be archived and restored as required.
