For certain users – such as those that travel extensively, or work offsite or from home – the web mail functionality provided within the Claromentis Portal is invaluable.

Features include: 

 

  • Home page with as many sub-folders for emails as required 
  • HTML or plain text mail composition 
  • Customizable settings – Users can specify POP3 or IMAP accounts, opt to leave copies of messages on the server, and decide the frequency of automatic checks for new mail messages 
  • Automatic filtering 
    • Based on triggers such as ‘title’, ‘sender’, ‘contains/does not contain’, or ‘mail size’ 
    • Choice of actions includes ‘move to specified folder’, ‘mark as read’, ‘reply’, ‘send a copy to specified email address’, and ‘send a notification to specified email address’ 
  • Organization functionality – Enables batch processing of filters to any sub-folders 
  • Search – Can be integrated with the search functionality that covers the wider Claromentis Framework. Alternatively, standalone search functionality is available to search messages and attachments only. 
  • Integration with Claromentis Sales Manager – On receipt of a mail message, a new company and opportunity can be created at a single click. Alternatively, the message can be assigned to an existing opportunity.

 

Messaging

Messaging is used extensively within the Claromentis solution to notify users that particular events have occurred. Each user can control whether instant messages arrive as emails – with a direct link to the relevant data – or as pop up messages. Frequent users will prefer the pop up systems, while those who spend less of their working day logged in to the intranet will prefer the convenience of receiving an email. Whenever you have unread messages in your inbox, the visual interface can display a flashing icon to remind you to read them.

Messaging within the Claromentis Portal environment:

 

  • Enables you to send a message to any user or group of users 
  • Provides a fully functional message inbox – so you can review messages, see who the recipients were and whether each recipient has read the message, forward messages, reply directly, mark as read, or delete messages. 
  • Allows you to notify any group of users that you have edited or created a document 
  • Notifies you about the following: 
    • New forum postings 
    • Document workflow events that require your attention 
    • Changes to pages within the Enterprise Content Manager application that require your approval or due for updates.
    • Changes made to a specific document in Document Manager
