Claromentis provides a complete set of functionality for scanning documents into the document management system, and for routing them as required - either
• automatically or
• based on review and intervention.
The scanning team first create scanned images as required. In general there are two approaches:
Use the images directly as simply an image OR
Capture additional data about the image efficiently – for example what kind of file it is, perhaps ‘invoice’ or ‘correspondence’ and if it is an invoice data might include:
• which supplier is it
• what is the total amount.
All of this data is captured efficiently using for example key combinations to avoid any repetitive typing, to speed up processing and to reduce errors.
If data is captured the system provides input map and record type functionality, so that automatically and periodically Claromentis can import the scanned documents, and from the captured data complete the required metadata – for use by further staff in workflows or by the automatic process to place the files in the required location.
For example the system could place all invoices of less than £1,000 into this location in the document management system, invoices of more than or equal to £1,000 into another location – while correspondence is sent to another location entirely.

The system can automatically route files according to captured data, or it can use workflows to allow users to inspect the file and make manual decisions on routing.
In addition Claromentis can processes scanned images so that all words within the images are recognised, and available for searching. This can be for handwriting and for multiple languages.

Scanned files are efficiently routed to the correct staff for processing with less errors, critical information is captured, paper based processes reduced and reporting is facilitated.
