Metadata is very important when adding documents to a document store. It enables the user to categorise the documents for easy search and retrieval later. In the Claromentis Document Manager application, metadata can be controlled only by those with metadata editing rights, and can include the following information: 

 

  • Select fields - A selection of field values that can be defined by the user. 
  • Check boxes - Also known as tick boxes. Can be created for multiple selection. 
  • Date fields - Can be set up to trigger document reviews. 
  • Document links - Links to other related documents in the document store. 
  • URLs - Links to relevant websites.

Record types

Record types are a collection of metadata in a template. When uploading documents, users can select these templates to help ensure that they record the different information required for different document types. For example, the information required concerning a technical document may differ from information recorded for a financial document. The the metadata fields therefore need to reflect this.
